Administrative Director /Asian American Theater Company
Job Description
The Administrative Director works directly under the Producing Director of the Company and serves as coordinator between the various other staff positions (marketing director, grantwriter, literary associate.) other organizations, and artists working with the company. This is a full-time, salaried position that requires flexibility to manage the non-administrative duties. Other duties include:
§ Front House Management & Box Office Services (reconciliation of ticket
sales and donations)
§ Grant Preparation and Reporting
§ Theater Production and Stage Management (coordination of technicians,
designers and artist during production)
§ Copywriting & Design of theater programs, ads and brochures
§ Coordinating workshops and classes (auditioning actors, scheduling,
contracts, renting venue and rehearsal
space, payroll and hiring instructors and enrolling students)
§ Banking, AP/AR, Payroll, Bookkeeping, Fiscal Reporting
§ Coordinating and Supervising Volunteer Services (website manager,
training coordinator, Project 20, etc.)
§ Appointments and Scheduling for Board of Directors, Executive Director
and Staff
§ General Administrative Duties: typing, correspondence, filing, phones,
database management, supply & inventory,
§ Archiving, mailings, press releases, procurement of goods and services
§ Contracts & Agreements with actors, playwright and co-producers, AEA
§ Travel & Hotel Arrangements, Itinerary for actors, production staff
and crew
§ Organizing production benefits and receptions

Applicant should be computer literate and have working knowledge of the following programs:
FileMaker Pro, QuikBooks Pro 99, Netscape Navigator, Outlook
Express,Microsoft Word/Excel.
Knowledge of graphics programs desirable but not required.
Excellent Oral and written skills. Attentive to detail and a competent
multi-tasker.

Administrative Assistant
Job Description
Works directly under the supervision of the Adminstrative Director. Responsibilities include: word processing, draft/edit correspondence, filing, copying, data entry, send out email, assist in grant applications, writing reports, marketing/publicity and other projects, telephones/reception, coordinate meetings/events. Experience with Microsoft Word/Excel, Filemaker Pro, QuickBooks, Microsoft Outlook, Internet. Flexible schedule, detail-oriented, organized, team player. Salary commensurate with experience. 20 hours a week.
