East West seeking Admin Assistant

East West Players seeks a reliable and responsible candidate to provide administrative support to the office staff. Position will maintain contact with all departments and oversee general office procedures to ensure the smooth running of major projects and daily operation. The Administrative Assistant will also spearhead the Volunteer Program and develop the office Procedures Manual.

Hours are M-F 10am-6pm with occasional weekends and late evenings for special events. Position is Full-Time with potential for growth.

RESPONSIBILITIES:

  • Manage opening and closing office procedures
  • Serve as the first point of contact for donors, patrons, artists, volunteers, and community members
  • Answer incoming calls, follow-up phone inquires, relay messages, take ticket reservations (as needed)
  • Answer/relay email messages as needed
  • Maintain office supplies and major equipment
  • Process, distribute, deliver mail daily
  • Prepare meeting materials for board/committee/staff meetings
  • Light bookkeeping, including: processing checks and credit card charges and delivering bank deposits
  • Assist with major fundraising events
  • Manage and spearhead growth for the EWP Volunteer Program
  • Coordinate volunteers for special events including EWP's annual Gala and "One Night Only" Fundraiser
  • Work with Marketing/PR Manager and Development to maintain patron/donor database
  • Work with Development Manager in processing of donor contributions
  • Work with Director of Production to maintain actors submissions and coordinate auditions (as necessary)
  • Work with all department heads to develop the EWP Procedures Manual.

QUALIFICATIONS:

  • Bachelor degree and/or 2-3 years experience in a professional office required
  • Strong oral and written communication skills
  • Ability to adapt quickly to fluctuating needs of the office
  • Ability to take initiative and multitask on large and small projects
  • Ability to prioritize multiple tasks with minimal supervision
  • Ability to work flexible hours (some nights and weekends)
  • Microsoft Word, MS Excel, Eudora email, and internet research skills required
  • MS Access and DonorPerfect, a plus
  • Strong technical computer skills, a plus
  • Past experience in special events and volunteer coordination, a plus

COMPENSATION:
$24,000-$26,000 DOE. Full Benefits after probationary period.
